PRIVACY NOTICE FOR THE CUSTOMER REGISTER

Pursuant to Sections 10 and 24 of the Personal Data Act.

3. Purpose of processing personal data

The purpose of the Customer Register is to enable the provision and development of the accommodation and other services offered by the controller from time to time and to ensure their quality.

Personal data stored in the Customer Register, as set out in Section 5 below, may be processed, in accordance with data protection legislation, for the following purposes:

  • Establishing, implementing and maintaining a customer or other contractual relationship;

  • Providing, producing and developing the controller’s services, contacting the customer and other customer service purposes;

  • Maintaining and ensuring order and safety and investigating crimes and abuses;

  • Invoicing and collection measures as well as credit control;

  • Direct marketing, opinion and market research, research, statistics and analysis, and other legitimate purposes, such as profiling based on the customer’s choices to provide the customer with more individual and diverse content and services.

4. Data content of the register

The data stored in the Customer Register may vary depending on the customer’s choices. The data may include at least the following information about the customer: name, contact details, email, date of birth and possible personal identity code, passport or ID card number, nationality, time and duration of the visit, user IDs if the customer has registered for the controller’s service, the customer’s interests and other choices made in the service, as well as profiling data.

There may be recording camera surveillance in the public areas of the controller’s hotels. Camera surveillance is always separately indicated. Recordings may be used only to maintain and ensure order and safety in the accommodation premises and to investigate possible crimes and abuses. Camera surveillance recordings are retained for a maximum of two (2) weeks from the date of recording, unless a longer retention is justified due to mandatory legislation or an official investigation.

5. Regular sources of data

Data is obtained from the data subject when making an accommodation reservation and/or completing a purchase and/or completing a traveller notification, as well as from the controller’s Traveller Register, or when the customer provides data, e.g. in connection with participation in a marketing campaign. We consider it important that customer data is accurate and up to date at all times; therefore, data may be collected, stored and updated from registers of controllers offering publicly and freely available information services.

6. Regular disclosures of data

Personal data stored in the Customer Register may be disclosed, for the purposes referred to in Section 4, to companies belonging to the same group as the controller and to the controller’s marketing communications partner. Individual customer data is not disclosed to third parties. Data may also be disclosed to authorities in situations defined by law and/or for the purposes provided by law.

Customer personal data may be transferred to and stored on servers administered by a service provider used by the controller, to the extent required for data processing.

7. Transfer of data outside the EU or EEA

As a rule, customer data is not transferred outside the EU or EEA. However, data may be transferred outside the EU or EEA for the purposes referred to in Section 3 in accordance with data protection legislation. Non-EU partners are required to comply with EU data protection practices (e.g., EU–US Privacy Shield or a valid successor mechanism/appropriate safeguards).

8. Principles of register security

8.1 Manual material

Manual material containing personal data is kept in locked premises. No external persons or employees whose duties do not require such processing have access to the material.

8.2 Electronically processed data

Data is technically protected and stored securely so that no external persons or employees whose duties do not require such processing have access to it. The data is located on a server in a locked facility with restricted access.

9. Rights of the data subject

9.1 Right of access and rectification

A customer has the right to inspect the data stored about them in the register. Requests to exercise the right of access must be made in writing to the address specified in Section 1. If there are errors or deficiencies in the stored data, the customer may submit a request for rectification. The controller may also rectify such data on its own initiative.

9.2 Right to object and erasure

A customer has the right to prohibit the controller from processing their data for direct marketing and for market and opinion research, and to require the controller to erase their data from the register. For prohibitions and rectification matters, the customer may contact the controller by email or post at the address specified in Section 1.


COOKIES

A cookie is a small text file that a web browser stores on your device. There are two types of cookies. Temporary session cookies expire when you close your browser. Persistent cookies are stored in your browser’s memory. Cookies do not damage your device, and neither you nor other individual users can be identified by the data collected via cookies.

We collect, via cookies, information related to the use of services, usage volumes and other statistics. We utilise analytics programs in processing cookie data — we do not collect any personal data about users.

We track, among other things, page load times and the types of information visitors seek. We also use cookies to measure the effectiveness of advertising. If you have registered on our site, cookies manage your login and access to your own booking information. We analyse the data collected and use it to develop our services to be even more user-friendly.

Cookies enable targeted advertising

We also use cookies for remarketing and Google Analytics. Third parties, such as advertisers and advertising networks, may target advertising based on your likely areas of interest. If you do not want targeted advertising, you can opt out via the links below. You will still see ads after opting out, but they will not be selected based on your interests.

Want to disable cookies?

UHANDA OY – GROUP – COMPETITION RULES

Participation in competitions

Only adults (persons who have reached 18 years of age before the end time of the competition) may participate in competitions organised by Uhanda Oy – Group (“UHANDA”). Participation does not require the purchase of a product or service. UHANDA is not responsible for problems or obstacles to participation in the competition or receipt of the prize due to technical reasons or reasons independent of UHANDA.

If participation in the competition requires completing contact details, all information requested on the entry form must be provided for the entry to be valid. By giving consent to “I agree to receive marketing messages”, you grant UHANDA permission to use your data for targeted marketing to you. Uhanda Oy – Group does not disclose marketing data to third parties.

Drawing of prizes and redemption

UHANDA will draw the competition prizes among all who meet the competition criteria and have participated by the deadline, after the competition period has ended. Winners will be notified personally, after which UHANDA will ask the winners to provide the necessary contact details for redeeming and delivering the prize.

If a winner cannot be reached within a reasonable time after the draw, UHANDA has the right to draw a new winner, and the unreachable winner will forfeit the right to the prize. UHANDA has the right to publish the winners’ names and municipalities of residence in its own communication channels without separate consent or compensation.

Competitions in social media

Competitions held on social media channels, such as Facebook and Instagram, follow UHANDA’s general competition rules. The social media channel on which the competition is held does not sponsor, recommend or manage UHANDA’s competitions in any way and is not associated with them.

Competition prizes

Competition prizes cannot be exchanged for cash and are not transferable to another person.

Uhanda Oy – Group reserves the right to change the rules during the competition or to suspend the competition for a justified reason. Any changes will be announced in the channel where the competition is held.
